Logistics Coordinator

Sector: Logistics and Supply Chain

Main Duties and Responsibilities:

  • Works independently: Effective management of daily work agenda including an ability to work remotely from a team on an ongoing basis.

Requirements:

  • Desirable – Tertiary qualification in a relevant field such as supply chain management, business development, or leadership.
  • Previous experience with NGOs or similar organizations is a plus.
  • Language Skills: high standard of written and oral business language skills in local languages and a good command of both Arabic and English.
  • Computer Skills: Advanced use of the MS Office Suite in programs such as Word, Excel, Outlook, &/or other Microsoft products, the ability to learn and become proficient with CRM software, the ability to learn and become proficient in the use of Safety reporting software.
  • Organizational Skills: Working knowledge of supply chain process fundamentals, including service monitoring and evaluation. Previous experience in delivery services within a Supply Chain or Logistics framework.
  • Strong interpersonal skills to build effective working relationships with the stakeholders. Awareness and consideration of the political implications and religious sensitivities that apply to staff, customers, and suppliers in the region of responsibility.
  • Working knowledge of supply chain process fundamentals, including service monitoring and evaluation.
  • Previous experience in delivery services within a Supply Chain or Logistics framework.
  • Strong interpersonal skills to build effective working relationships with the stakeholders.
  • Awareness and consideration of the political implications and religious sensitivities that apply to staff, customers, and suppliers in the region of responsibility.

    Customers

  • Expectation Management ensures refugee clients and their families understand the service scope and case life cycle including the management of, and attendance at, critical service appointments.
  • Continued awareness and consideration of the political, religious, ethnic, and social sensitivities and factors that apply to refugee client customers and their host countries.
  • Provide direct, in-person support at service appointments when this is required, this might include IMEs, DHCs, Exit Visa Applications, and Airport Departure.

    Stakeholders

  • Work with host country government agencies, specifically the KRG (Kurdistan Regional Government) immigration authorities to facilitate and support our customers with local regulatory requirements as required, this includes Character Clearances, Exit Visas, or in-country travel permits.
  • Liaise with the regional Company's office in other countries  to take possession of IMMI Cards and ensure these are safely.
    held and distributed to assigned refugees before traveling to the last destination.
  • Support the Supply Chain team in developing and enhancing excellent working relationships with the regional representation of major stakeholders (see Key Relationships) in a culturally diverse area.

    Suppliers

  • Partner with all subcontractors in KRG to ensure the services provided are of the highest standard and in line with contractual requirements.
  • Ensure that the unique needs of the Refugee and Humanitarian Visa clients are always a factor in the delivery of all services.
  • Ensure all Transit Services are delivered with the highest standards of safety and customer security.
  • Ensure that service delivery in remote locations is consistent with contractual requirements and expectations, this includes the use of innovative ways to monitor remote service delivery.
  • Be a Safety Leader who identifies and corrects conditions that affect employee and customer safety.
  • Support your Case Manager colleagues with client contact, explaining service scope and in-country administration.

Office- Based role, ability to travel domestically and internationally within the region
